Frequently Asked Questions
Are there any COVID-19 vaccine requirements for attending in-person events?
The California Department of Public Health (CDPH) strongly recommends that all attendees are fully vaccinated or have a negative COVID-19 test before entering the event. Based on the current Sonoma County levels proof of testing or vaccination status is NOT required.
Will HSC have safety measures in place?
Yes, Head Start California asks you to please visit our Health & Safety page.
I want to attend the conference, but my supervisor needs more information.
We understand that you may need a justification letter to support your attendance at the Head Start California Health Institute. To facilitate this process, we have created a dedicated link where you can access a template for the justification letter.
What if conditions change — could the event be canceled?
HSC’s top priority is the health and safety of our members. If it is determined that it is not safe to participate in an event, it will be canceled. To the extent possible, HSC will make this decision based solely on current or anticipated federal, state, or local conditions and restrictions. Any cancellation decision will be communicated at least 24 hours prior to the event.
How do book dates pre and post dates at the hotel and get the group rate?
HSC’s discounted rate can be available based on the availability at the time of the request. The best way to do this is to call the hotel and let you know that you are with Head Start California's Health Institute and would like to extend your stay. The hotel's phone number is 707-284-1234.
Will there be a hybrid option?
Not this time. These events are planned to be in-person and rely significantly on group discussion and participant interaction. With this structure, there isn’t a good option for virtual participation.
How will I know about changes to event status?
Once you’re registered for an event, watch your email. We’ll send you any change in status as soon as possible.
Head Start California's Meeting & Event policies can be found here.
Can I view the agenda from my phone?
The Health Institute will not have a printed program of events. We encourage attendees to download the app to view the agenda and presentation handouts. Download the app here:
You will be prompted to enter a TICKET NUMBER. Your ticket number is an 8-digit number that can be found as a PDF attachment to an email you will receive right after registering.

What’s included in my registration?
Health Institute Includes:
Why aren't all meals included in my registration?
At HSC, we strive to ensure that conferences remain affordable for our members. Including all meals in the registration would result in an increase of $100-$150 per ticket. Our average cost for a hotel breakfast is $40 per person and a hotel lunch is $76 per person. Whenever possible, we aim to hold our conferences in locations that offer affordable options nearby when we are not hosting a meal. This also provides an opportunity for attendees to explore the area and enjoy dining in accordance to their individual tastes and preferences. To assist you in planning, our agenda specifies which meals are included and which are not. Provided meals will indicate, for example, "Lunch: Provided by HSC" while meals not provided will indicate, for example "Breakfast: On your own." We hope this helps you as you plan out your conference experience.
Who Should Attend?
