Compliance must be ensured at all times when participating in an EPCA Annual Meeting. This includes any one-to-one meetings or events in which delegates may participate in the context of the Annual Meeting.

Beware of Attendee-list and Hotel Scams
It has come to our attention that our event is the target of attendee list sales/hotel scams. Scammers call or email attendees/members claiming to represent EPCA or be an official vendor, and encourage our customers to book rooms using fake promotion codes or offer to sell attendee lists. These emails are sent by scammers!
Statements claiming to offer our attendee lists are fraudulent!
If you receive emails that propose to sell EPCA attendee lists, do not engage with the sender and delete the message immediately and report the caller/sender to the competent authorities.

Hotel & meeting room allocation and confirmation
All rooms must be guaranteed by credit card. No booking will be confirmed without full and correct credit card details.
Confirmations will be sent starting end of June 2022.
Cancellation of and changes to bedroom and meeting room bookings must be made in writing and sent to the EPCA Hotel Administration in Brussels: firstname.lastname@example.org.
Hotel room bookings
Accommodation prices are quoted in Euros (€ / EUR) per room per night including VAT. Breakfast is not included.
Accommodation in all hotels will be available from 15.00 on the day of arrival until 12:00 on the day of departure. Delegates who want a guaranteed early arrival and/or a late check-out are required to add the previous and/or following night to their booking.
Junior suites cannot be used as meeting rooms. They consist of one large room combining bedroom and sitting room in the same area.
Hotels may allow full suites to be used for small informal meetings but these suites may not serve as formal meeting rooms. However, in some hotels, a “soft” conversion of the living room of the full suite is possible upon request of the delegate for a one-off conversion fee. In such a case, the living room of the full suite can be equipped with a boardroom table and chairs. These soft conversions need to be ordered via the email indicated in the e-mail confirming the booking of the suite. Minimum capacity: 4 people – Maximum capacity depends on the hotel and the type of suite and sanitary measures in place during the duration of the Annual Meeting. The delegates who want to use their full suite for informal meetings can order a catering service via the email link included in the confirmation email. Individual catering can still be ordered through room service.
Delegates cannot be informed of their suite number before the Meeting. Suite numbers can be made available on-site on the meeting room list after check-in and upon the delegate’s request at the EPCA Information desk in her/his hotel.

Hotel meeting rooms can be booked with EPCA’s assistance for use during the event.
The meeting rooms rental period is three consecutive days minimum.
The rental fees for meeting rooms are indicative and vary according to the size of the meeting room. Rates are quoted in Euros per room per day, and do not include catering.
Catering can be ordered via the email link included in the confirmation email. In case of booking a Business Conference Room at the InterContinental Berlin, a mandatory setup fee of EUR 426,00 applies. Also a mandatory F&B package will have to be booked for each meeting room for at least the 3 main days of the Annual Meeting (October 4-6 2022)
Meeting rooms are available from 08.00 on the first day of booking until 17:00 on the last day of booking. If other times are required, please notify email@example.com
If a meeting room is allocated to you, prepayment will be compulsory for the meeting room rental. Details can be found on the meeting room confirmation. Payment for meeting rooms (and mandatory F&B orders) must be received by the allocated hotel no later than 1st September 2022 COB. If no payment is received by this date, the credit card provided as a guarantee will be charged accordingly. Delegates must pay their room charges and extra orders/services requested in the meeting room at the hotel on departure. Reserved tables for up to 6 people will be available for rent in the Pavilion of the Hotel InterContinental Berlin at a rental fee of € 1,500.00 for 3 ½ days (VAT excluded). This fee includes ten (10) day tickets for external guests that can be distributed by the renting EPCA member company.
The list of all allocated tables is available on the EPCA website HERE. You will also be able to consult it on-site at the EPCA Information desks in the partner hotels. Companies/Delegates who do not wish their meeting table to appear on this list should explicitly inform the EPCA office of same in writing, sending this to: email@example.com.
